Professional Training College in Japan: Courses, Admission and Careers

    AIC Japan Career Pathway

Choose the course by the job you want to qualify for

A professional training college, commonly called senmon gakkou, teaches practical knowledge and skills for specific careers. The safest choice begins with accreditation, Japanese ability, the exact diploma, training quality and a realistic connection between the course and your intended work.

    Verified 9 August 2026Next review 9 November 2026Official-source guide
8 major fieldsIndustry, agriculture, medical care, hygiene, welfare, business, fashion and culture.
Japanese-mediumThere are no fully English degree programs at specialized training colleges.
Diploma status mattersConfirm the exact course awards a diploma or advanced diploma.
Do not confuse three different routes: a Japanese language school prepares language skills, a professional training college teaches a vocation and awards a diploma when the approved course qualifies, and a professional and vocational university awards an academic professional degree.

    1. Is professional training college the right route?

Your priority Usually stronger route Reason
Learn Japanese before deciding a field Japanese language school Language and progression preparation come first.
Train for a specific practical occupation Professional training college Coursework, equipment and practice focus on an occupational field.
Earn a bachelor’s degree with broad academic study University A university degree is structurally different from a diploma.
Combine academic theory and extensive practical learning Professional and vocational university Graduates receive a bachelor’s degree (professional).

    2. Start with the eight official fields

    Industry

IT, system engineering, architecture, automobile technology and electronics.

    Agriculture

Agriculture, horticulture, animal care and related production skills.

    Medical care

Nursing and other regulated health occupations. Licensing rules require separate checks.

    Hygiene

Nutrition, culinary arts, confectionery and beauty-related fields.

    Education and welfare

Childcare, social welfare, care work and related human services.

    Commercial practice

Accounting, business, tourism, hotel operations and office skills.

    Dressmaking and home economics

Fashion design, garment production and lifestyle-related training.

    Culture and liberal arts

Design, animation, games, film, languages and creative production.

A course title is not enough. Verify the actual subjects, practice hours, equipment, internship conditions, professional licenses, recent employers and whether the likely job can support a work-status application.

    3. Diploma and advanced diploma are not the same

    Point Diploma Advanced diploma
Standard study period 2 years or more 4 years or more
Minimum scale in official guidance 1,700 hours or 62 credits 3,400 hours or 124 credits
Further study May provide eligibility to transfer to a university May provide eligibility to enter graduate school
Critical check Ask the school in writing whether your exact course grants the title. An unaccredited institution does not grant these titles.

    4. Confirm Japanese-language eligibility

Professional training college classes are conducted in Japanese. Official guidance lists several possible ways to demonstrate the required ability. Applicants generally must satisfy at least one route, but individual schools can set additional standards.

    Language-school route

More than six months of Japanese education at an institution designated through the relevant official notification.

    JLPT route

    Passing JLPT N1 or N2.

    Japanese-school route

At least one year of education at a Japanese elementary, lower-secondary or upper-secondary school.

    EJU route

At least 200 points in the specified Japanese as a Foreign Language components.

    BJT route

At least 400 points on the BJT Business Japanese Proficiency Test.

    School-specific check

Confirm the accepted evidence, validity period, interview level and any higher requirement directly.

    5. Academic eligibility

The standard route is completion of 12 years of schooling outside Japan. Official guidance also recognizes specified equivalency examinations, approved overseas upper-secondary programs, certain internationally accredited school routes and qualifications such as the International Baccalaureate, Abitur, Baccalauréat and GCE A Level. Applicants with fewer than 12 years may need an approved preparatory route.

Bangladesh note: SSC and HSC normally form a 12-year school sequence, but the college must evaluate your exact record. Submit consistent certificates, marksheets, translations where requested and a clear study history.

    6. Course-to-career verification checklist

Count 10 points for every item you can verify with current evidence.

    Read your score
80 to 100: strong evidence base. 60 to 70: verify missing evidence before paying. Below 60: pause and investigate the course or choose a safer alternative.

    7. Build the course-to-career evidence map

    Target occupation

Write the exact role, not only an industry. “Hotel front-office operations” is more useful than “hospitality.” Identify the main duties and the Japanese level employers expect.

    Course evidence

Map every important job duty to named subjects, practical exercises, facilities, licenses or internships in the curriculum.

    Graduate evidence

Ask for recent employer names, job titles, employment type and the number of international graduates who entered relevant work.

    Immigration evidence

Ask how the intended work relates to the diploma field and which status of residence graduates commonly use. The school cannot guarantee approval.

    Fallback route

Decide what you will do if the Japanese level, license examination, internship or target job does not work as planned.

    8. The complete admission workflow

    1

Define one occupation and two alternatives

Research duties, qualifications, Japanese level, work conditions and lawful status options.

    2

    Build an accredited school longlist

Use reliable directories, then verify the exact institution with the prefectural authority or recognized higher-education information source.

    3

    Verify the exact course credential

Confirm duration, credits or hours, diploma title, facilities, teachers, practical training and graduate results.

    4

    Confirm Japanese and academic eligibility

Do not assume one school’s requirement applies to another. Save the current application guide.

    5

    Compare total cost

Include screening, admission, tuition, equipment, uniforms, materials, examination, licensing, housing and living costs.

    6

    Prepare the evidence file

Academic records, Japanese proof, purpose statement, sponsor evidence and study history must be consistent.

    7

    Complete selection

Schools may use document screening, academic tests, interviews, essays, aptitude tests, practical tests and Japanese testing.

    8

    Admission, COE and visa

Follow the school’s official payment and COE instructions. Keep receipts and use the current visa submission route.

    9

Start career preparation in year one

Build Japanese, portfolio, licenses, internships and employer research before the final year.

    10

    Change status before full-time work

Student status does not authorize full-time employment. Apply for an appropriate work-permitting status after securing eligible employment.

    9. Application evidence room

    Academic

    • Graduation certificate
    • Transcript and marksheets
    • Required translations

    Japanese ability

    • JLPT, EJU or BJT evidence
    • Language-school attendance and grades
    • Interview preparation

    Purpose and fit

    • Why this occupation
    • Why this exact course
    • Plan after graduation

    Financial sponsor

    • Relationship proof
    • Income, tax and employment evidence
    • Bank history and source of funds

    Practical portfolio

    • Creative or technical work if relevant
    • Certificates and projects
    • Practical-test preparation

    Payment trail

    • Official invoice
    • Fee and refund schedule
    • Receipts and remittance records

    10. Budget and scholarship planning

The official Study in Japan fee guide gives an approximate first-year academic-fee average of ¥1,300,000 for specialized training colleges. Equipment-heavy courses, practical materials, uniforms, professional examinations and licensing can add substantial cost.

    Before enrollment

    • Application and screening
    • Admission and tuition deposit
    • COE and visa preparation
    • Housing entry and airfare

    During study

    • Remaining tuition
    • Tools, devices and consumables
    • Professional exams and licenses
    • Living costs and emergency reserve
The MEXT Specialized Training College Students scholarship has a separate embassy-recommendation route. For 2027 arrival, official guidance states recruitment is generally conducted around April to May of the previous year, with country-specific schedules handled by Japanese embassies or consulates.

    11. Career and immigration guardrails

A diploma does not guarantee a job

Employers evaluate Japanese, technical ability, portfolio, licenses, internships and interview performance.

A job offer does not guarantee status approval

The work must fit an appropriate status category and meet its rules. For common professional statuses, course relevance and skilled duties can be important.

    Job-hunting continuation has conditions

Official guidance allows qualifying professional training college graduates who obtained a diploma to seek a change from Student to Designated Activities for continued job hunting, normally six months plus one extension.

Pay and duties must be credible

For common professional work statuses, remuneration should be comparable to Japanese workers and the role cannot consist only of simple tasks outside the permitted activity.

    12. Red flags

    Unclear accreditation

The school avoids naming the approving prefecture or the exact diploma awarded by the course.

    Guaranteed visa or job

An agent promises immigration approval, a full-time job or a work status before reviewing the actual course and duties.

    Weak facilities and outcomes

Promotional photos replace current equipment lists, practical schedules and recent graduate roles.

Course and job do not match

The sales explanation focuses on entering Japan, not on the skills, credential and lawful career route.

Japanese Language School in Japan: Selection and Application Guide

    AIC Japan Study Pathway

Choose the right school, not the loudest promise

A Japanese language school can prepare you for university, professional training, work or daily life. This guide helps you verify the school, match the course to your goal, build a realistic budget and submit a consistent application.

    Verified 9 August 2026Next review 9 November 2026Official-source guide
10 to 12 monthsStart research before the planned intake.
4 possible intakesApril and October are common. Some schools also offer January or July.
Official status firstConfirm the institution is eligible for Student status of residence.
Important: A language school is not automatically the best route for every student. If your target degree is taught fully in English, or you already meet its Japanese requirement, direct admission may save time and money.

    1. Decide what the school must help you achieve

    University or graduate school

Choose academic Japanese, JLPT and EJU preparation, application support and a record of progression to institutions relevant to your target.

    Professional training college

Look for practical Japanese, interview preparation, field-specific vocabulary and progression support for senmon gakkou.

    Work and business Japanese

Check the actual curriculum, speaking practice, business writing, career counseling and whether the course matches your current level.

    Short-term language growth

A short course may be enough if you do not need Student status of residence. Confirm the visa route separately before paying.

    2. Understand the three institution types

Type Best for What to verify
Japanese language school General Japanese, higher-education preparation and business Japanese Immigration designation, course length, intake, level placement and student support
Japanese program at a specialized training college Language preparation linked with further vocational education Prefectural approval, progression options, fees and Student status eligibility
University or junior-college international program Preparation connected to a higher-education institution Course purpose, recommendation arrangements and whether the program fits your next degree
For Japanese-medium higher education, the official Study in Japan guidance says learners generally need around JLPT N1 or N2 ability. A language-school certificate alone does not replace the admission requirements of your next institution.

    3. School verification scorecard

Check evidence, not sales language. Give the school 10 points for every item you can verify directly.

    Read your score
Count 10 points for every checked item. 80 to 100 means a strong evidence base. 60 to 70 means verify the missing evidence before paying. Below 60 means pause and investigate the school or consider alternatives.

    4. Compare schools with one evidence sheet

Category Questions to ask Evidence to save
Course fit What level will I start at? How many hours? Which exam or progression route is supported? Current curriculum, timetable and placement policy
Outcomes Where did recent students progress? How many completed the course? Dated outcome report and named destinations
Total cost What is due before COE or visa? What is refundable if the visa is refused? Invoice, fee schedule, refund policy and dormitory contract
Student support Who helps with housing, health, emergencies and applications? Support handbook and contact details
Compliance How is attendance recorded? What happens after prolonged absence? Attendance and withdrawal rules
Location Can I afford rent and transport? Is the campus practical for my next institution? Map, commute estimate and housing quotations

    5. Choose the intake and build backward

Open the intake you are considering. Replace this general window with the exact deadlines published by each school.

    April intake plan

Research May to July, shortlist in August, apply around September to November, prepare COE evidence from December, and complete visa and travel steps in February to March.

    July intake plan

Research August to October, shortlist in November, apply around December to February, prepare COE evidence from March, and complete visa and travel steps in May to June.

    October intake plan

Research November to January, shortlist in February, apply around March to May, prepare COE evidence from June, and complete visa and travel steps in August to September.

    January intake plan

Research February to April, shortlist in May, apply around June to August, prepare COE evidence from September, and complete visa and travel steps in November to December.

    Goal check
University route: add JLPT or EJU preparation and progression evidence.
Professional training route: add field vocabulary and interview support.
Career route: add business-Japanese outcomes, speaking practice and career-support evidence.

    6. The complete application workflow

    1

    Define the next destination

Write the exact outcome you want after language school. Include the degree, field, qualification, job direction or Japanese level.

    2

Build a longlist from reliable directories

Use the official institution lists and established school directories. Never rely on an agent shortlist alone.

    3

    Verify status and course fit

Confirm the correct campus and course, official designation, intake, duration, class level and progression support.

    4

    Compare total cost and refunds

Calculate application, admission, tuition, materials, insurance, housing, deposits, airfare and initial living costs. Save the refund terms before paying.

    5

    Prepare one consistent evidence file

Your education history, language study, study purpose, sponsor relationship, income, savings and transaction history should tell the same credible story.

    6

    Apply to the school

Submit the school forms and supporting evidence by its deadline. Expect document questions or an interview.

    7

    School applies for the COE

After admission screening, the school normally submits the Certificate of Eligibility application in Japan. Respond quickly to any additional request.

    8

    Pay only against verified instructions

Check the recipient, invoice, due date and refund policy. Keep every receipt and remittance record.

    9

    Apply for the visa

After receiving the COE and required admission documents, use the current submission route for your country. Bangladesh applications are facilitated through VFS Global.

    10

    Prepare for arrival and attendance

Arrange housing, insurance, cash for the first weeks and travel. Treat attendance as an academic and immigration responsibility.

    7. Application evidence room

    Applicant identity

    • Passport copy and photographs
    • School application and resume
    • Complete education and employment history

    Academic records

    • Graduation or expected-graduation certificate
    • Transcripts and examination records
    • Translations where required

    Study purpose

    • Reason for learning Japanese
    • Why this school and course
    • Plan after completion

    Language evidence

    • JLPT or other accepted test result
    • Language-school certificate
    • Study-hour record if requested

    Sponsor evidence

    • Relationship proof
    • Employment, income and tax documents
    • Bank records and source of funds

    Payment record

    • Official invoice
    • Tuition and admission receipts
    • Remittance evidence
For applicants from Bangladesh: prepare SSC, HSC and higher academic records, a clear history of Japanese study, and sponsor evidence that explains the relationship, regular income, savings and major deposits. The final visa document list must be checked again with the Embassy of Japan in Bangladesh and VFS Global because requirements can change.

    8. Budget before accepting an offer

The official Study in Japan fee guide gives a broad first-year range of approximately ¥610,000 to ¥1,900,000 for Japanese language institutions, depending on the course. This is not the complete cost of living in Japan.

    School costs

    • Screening and application fee
    • Admission fee and tuition
    • Books, activities and insurance
    • Dormitory entry fee or deposit

    Life and arrival costs

    • Rent, utilities and food
    • Transport and communication
    • Airfare and visa-service costs
    • Emergency reserve
Do not build the plan around maximum part-time hours. Work permission is separate, hours are limited, jobs are not guaranteed and attendance must remain the priority.

    9. Red flags that require a pause

    Pressure before evidence

“Pay today,” personal bank accounts, missing invoices or refusal to provide written refund rules.

    Guaranteed outcomes

Guaranteed visa, guaranteed part-time job, guaranteed university admission or a promised JLPT result.

    Weak course detail

No clear timetable, placement method, learning outcomes, progression data or attendance policy.

    Inconsistent documents

An agent asks you to hide study gaps, invent work, borrow unexplained money or sign a statement you do not understand.

Master’s and PhD in Japan: Complete Admission Roadmap

A complete planning system for choosing a research home, confirming eligibility, approaching the right supervisor, preparing the application and moving from admission to enrollment in Japan.

Research fit comes before rankingThe best graduate route connects your question, methods, supervisor, program rules, funding and long-term goal.
Verified guide: Based on Study in Japan, MEXT, JASSO and immigration guidance available on 9 August 2026. A graduate school’s current application guidelines always control its exact requirements.
Master’s structureUsually 2 years. Some schools call it the first stage of a doctoral program.
Doctoral structureCommonly a 3-year stage after a master’s, while some fields and integrated structures differ.
Main intakesApril is common, with September or October admission available at many graduate schools.

First identify your real admission route

Graduate admission in Japan can look similar from the outside while following very different rules. Do not assume that contacting a professor, becoming a research student and applying for a degree are the same process.

Choosing between Master’s, Research Student and Direct PhD? Compare the routes before you prepare your graduate application.

    Direct regular-degree admission

You apply to the Master’s, doctoral or professional program and complete its document screening, examination and interview process.

    Non-degree research student route

You enter as a research student, often called kenkyusei, before seeking regular degree admission. Some schools use this route, while others do not require or allow it.

    MEXT Research Student route

This is a scholarship pathway with embassy or university recommendation procedures. A MEXT research student may be non-regular or enter a regular degree course depending on the approved route.

    Professional graduate program

Programs such as business, public policy, public health, law or education may prioritize professional preparation and can use a different selection model.

Critical rule: read the graduate school and program instructions before emailing a professor. Contact may be required, recommended, routed through an office or prohibited before formal screening.

    Graduate intake planning calculator

Select your target degree and expected intake. The output is a planning schedule, not an official university deadline.

    The complete graduate planning timeline

    15 to 18 months before

    Define the research direction

Write a one-page problem statement, identify likely methods and decide whether you need a research-focused or professional program.

    12 to 15 months before

    Build a research-fit shortlist

Compare laboratories, faculty, recent publications, facilities, teaching language, degree structure, intake and funding. Confirm whether your intended supervisor can accept students.

    10 to 12 months before

    Check the contact model

Follow the program’s official instructions. Where contact is allowed, send a focused message that connects your background and research idea to the professor’s recent work.

    7 to 10 months before

    Prepare the evidence file

Develop the research proposal, SOP, academic CV, thesis summary, recommendations, transcripts, translations and required test scores.

    4 to 8 months before

    Apply and complete selection

Submit through the official system, pay the correct fee and complete the interview, oral examination, written test or presentation required by the program.

    1 to 4 months before

Accept, fund and prepare to arrive

Confirm the offer, payment and scholarship conditions. Complete COE, visa, accommodation, insurance and arrival preparation with the university.

    Eligibility is a university decision

Official Study in Japan guidance lists several routes for Master’s or first-stage doctoral admission, including graduating from a four-year university, completing 16 years of formal study or completing at least three years at a foreign university and earning a bachelor’s degree. Doctoral admission normally requires a master’s or equivalent background, with different conditions for medicine, dentistry, pharmacy and veterinary fields.

If your education path is unusual, your degree is three years, your credits do not fit a standard pattern or you are applying across disciplines, ask the admissions office about individual eligibility screening before paying an application fee.

Supervisor contact: use the correct model

Program instruction Correct action Risk to avoid
Prior consent required Contact an eligible supervisor with a concise fit-based email and requested evidence. Submitting without the required consent or using a generic mass email.
Contact recommended Confirm research fit and availability, but still follow the formal admission process. Treating an informal reply as an admission decision.
Office-mediated matching Send materials through the graduate office or designated matching process. Bypassing the stated procedure.
No prior contact Apply through the official screening route and wait for assignment or permission. Emailing professors despite an explicit prohibition.

    Your eight-step admission workflow

    1

    Define the degree outcome

Clarify whether you need a research Master’s, professional Master’s, PhD or non-degree research period.

    2

    Verify program and supervisor fit

Read the curriculum, lab pages and recent publications. Build evidence for why this research home fits.

    3

    Confirm eligibility

Check education years, degree level, field prerequisites and individual screening deadlines.

    4

    Map selection requirements

Record language tests, written examinations, interview, oral defense, portfolio and faculty consent.

    5

    Build the evidence package

Make the proposal, SOP, CV, thesis summary, recommendations and transcripts tell one consistent academic story.

    6

    Submit and track

Keep receipts, courier records, uploaded files and all admissions correspondence in one secure folder.

    7

    Evaluate admission and funding

Check tuition, scholarship terms, supervisor status, lab funding, campus and housing before accepting.

    8

    Complete COE and visa

Follow the university’s immigration instructions and submit consistent sponsor and financial evidence.

    Graduate application master checklist

    • Graduate program application form
    • Bachelor’s certificate and transcript
    • Master’s certificate and transcript for PhD applicants
    • Certificate of expected graduation, if applicable
    • Research proposal
    • Statement of Purpose or motivation statement
    • Academic CV
    • Recommendation letters
    • Thesis or research summary
    • Publication list or portfolio, where relevant
    • English or Japanese test score
    • Supervisor consent document, if required
    • Passport copy and photograph
    • Certified translations, when requested
    • Application fee proof
    • Financial sponsor and funding documents
Bangladesh document note: keep passport spelling, university certificates, transcripts and translations consistent. Explain name variations early. If a provisional or temporary certificate is used, confirm in writing whether the graduate school accepts it and when the final certificate must arrive.

    Selection may test research thinking

Graduate selection can combine document review, academic or language tests, an interview, essay, oral examination or research presentation. Prepare to explain the research problem, gap, method, evidence, limits, ethics, feasibility and why the proposed supervisor or program is appropriate.

For a PhD, reviewers usually expect stronger proof of independent research capacity, a clearer contribution and a more developed method than for a Master’s applicant.

    Cost and funding checkpoint

The official Study in Japan site reports average first-year admission and tuition of about ¥820,000 at national graduate schools, ¥900,000 at local public graduate schools and ¥1,100,000 at private graduate schools. Actual fees, laboratory costs and professional program fees vary.

Treat scholarships as one part of the plan. MEXT Research Students, JASSO support, university scholarships, tuition reductions, private foundations and laboratory funding all have different eligibility and timing. Do not assume a supervisor’s positive reply includes funding.

Standard degree lengthUsually 4 years. Medicine, dentistry, veterinary medicine and some pharmacy programs normally take 6 years.
Main intakesApril is the main intake. Some universities also offer September or October admission.
Basic academic routeMost applicants need 12 years of formal education or another qualification accepted under the university’s eligibility rules.

Start with the route, not the university name

Japan has Japanese-taught degrees, English-taught degrees and programs that use both languages. The right route depends on the language of instruction, the entrance examination, your academic background and your career goal.

    Japanese-taught route

Expect the university to specify Japanese ability and possibly EJU subjects, an interview or its own examination. The exact JLPT and EJU standard varies by university.

Best for: applicants who can study academic subjects in Japanese and want the widest program choice.

    English-taught route

Expect proof of English, school records, essays, recommendations and sometimes standardized tests or an interview. Japanese may not be required for admission, but it remains valuable for daily life and employment.

Best for: applicants seeking a degree delivered fully or mainly in English.

Avoid a common mistake: the university name is not enough. Confirm the faculty, major, degree name, teaching language, campus, intake, examination subjects, total cost and whether admission can be completed from outside Japan.

    Your eight-step admission workflow

    1

    Check academic eligibility

Confirm the 12-year education rule, age or graduation conditions, subject prerequisites and whether individual eligibility screening is available.

    2

    Choose the program language

Read the curriculum and admissions guide. A webpage in English does not automatically mean the degree is taught in English.

    3

    Map every examination

Record the required EJU subjects, examination language, score validity, English test, interview and university-specific assessment.

    4

    Verify the intake

April and autumn admissions can have different programs, scholarship timing and application windows. Confirm the exact faculty-level intake.

    5

    Build the application file

Prepare consistent names, dates and education history across every form, passport, certificate and translation.

    6

    Submit and track

Keep the submission receipt, payment proof, courier tracking and a PDF copy of the final application.

    7

    Evaluate the offer

Check the payment deadline, refund policy, scholarship conditions, campus and housing before accepting.

    8

    Complete immigration steps

Follow the university’s COE instructions, prepare proof of funding and apply for the visa after the required documents are issued.

Examinations: only take what your program requires

Requirement What it may assess Your action
EJU Academic Japanese and selected academic subjects for undergraduate admission. Confirm the required subjects, examination language and accepted session directly with the university.
JLPT General Japanese proficiency. Check whether a level is mandatory, recommended or not used.
English test TOEFL, IELTS, TOEIC or another accepted test. Confirm accepted test type, minimum score, validity period and score-reporting method.
Other academic test SAT, ACT, IB, country-specific examination or university test. Follow the current program guide. Requirements vary widely.
Interview or essay Motivation, academic readiness, communication and program fit. Prepare evidence-based answers connected to the curriculum and your future plan.

For Bangladesh-based applicants: write your name exactly as shown in your passport, explain any spelling variation in school records, use certified translations when required and keep the sponsor’s income, bank activity and relationship evidence consistent. Never create a temporary balance that you cannot explain.

    Budget before you apply

The official Study in Japan site reports average first-year admission and tuition fees of about ¥820,000 at national undergraduate universities, ¥910,000 at local public universities and ¥1,300,000 at private universities outside medical, dental and pharmaceutical fields. It also reports average monthly living costs of ¥105,000, excluding study and research costs. These are planning figures, not quotations from a specific university.

Your complete budget should include examination fees, application fees, translations, test reports, courier costs, admission fee, tuition, housing deposits, travel, insurance and living reserves.

    Decision gate before payment

    • The program appears on the university’s official website and the degree name is clear.
    • You have read the latest application guidelines for your faculty and intake.
    • You know whether the selection can be completed outside Japan.
    • You understand the total first-year payment and the refund policy.
    • The payment destination belongs to the university or an officially named provider.
    • You have checked the campus location, curriculum, support and graduation pathway.

  • Financial Sponsor and Bank Balance for Study in Japan

Financial Sponsor and Bank Balance for Study in Japan

    AIC Japan Study Finance Guide

Financial Sponsor, Bank Balance and Study Budget Planning

Build a funding file that makes sense to the school, the Certificate of Eligibility process and your real life in Japan. This guide separates the official form, the school’s evidence rules and your personal budget so that one number is never mistaken for a universal requirement.

Important: Japan does not publish one universal bank-balance number for every international student. The required evidence depends on the school, course length, tuition, sponsor type, scholarship and the documents requested for the COE application. Use the receiving school’s current checklist as the controlling rule.

    The three-layer test

Your financial story must work in three places

    1. School admission

The school may require proof that application, admission, tuition and living costs are affordable before it confirms enrollment or begins the COE process.

    2. COE evidence

The Immigration Services Agency Student form records how tuition, rent and living expenses will be paid, the average monthly support amount and the details of every financial supporter.

    3. Real-life budget

A document can pass an initial check while the actual plan remains fragile. Your budget must cover arrival cash, housing setup, insurance, food, transport, study materials and emergencies.

Credible funding = available money + stable source + clear relationship + realistic cost plan + matching documents

    Choose the correct funding model

    Self-funded, sponsored, scholarship or combined

    Self-funded applicant

The money is in your name and you can explain how it was earned or accumulated. Schools may ask for a bank-balance certificate, account history, employment or income evidence and an explanation of the source of funds.

    Parent or relative sponsor

The supporter provides the money. Expect a bank-balance certificate, income or tax evidence, employment or business evidence, a signed support undertaking and proof of relationship.

    Scholarship funding

Use an official certificate that states the student name, awarding organization, payment period, amount, currency and issue date. If the scholarship does not cover the full cost, document the remaining source.

    Combined funding

Applicant savings, sponsor support and scholarship can be combined when the school permits it. Show exactly which source pays tuition, monthly living costs and arrival expenses. Avoid overlapping or contradictory amounts.

    Evidence target builder

Estimate the amount your file needs to explain

This planning calculator is not an immigration guarantee. Replace every default with the current school’s actual figures and instructions.

Estimated evidence target¥2,618,000Based on 12 months, arrival setup and a 10% buffer.

    Use current cost evidence

Start with official averages, then replace them with your facts

Cost Current official reference How to use it
Living costs Study in Japan reports an average of ¥105,000 per month, excluding study and research costs. Adjust for city, housing, commuting, food, insurance and personal needs.
Housing The national average rent is ¥41,000 per month, while Tokyo is ¥57,000. Add deposit, key money, guarantor, furniture and utility setup where applicable.
National graduate school Average first-year academic fees are about ¥820,000. Use the exact program invoice or fee table, not the average, in the final file.
Private undergraduate program Average first-year academic fees are about ¥1,300,000 outside medicine, dentistry and pharmacy. Private and specialist programs vary widely, so verify every fee.

A simple first-year illustration using ¥820,000 academic fees and twelve months at ¥105,000 produces ¥2,080,000 before arrival setup and a safety buffer. This is a planning example, not a national bank-balance rule.

What a strong bank document shows

Balance alone is not the full story

    • Account holder name matches the applicant or declared supporter.
    • Bank name, branch, contact details, issue date, currency and balance are visible.
    • The document is recent enough for the school’s rule. Some universities require issue within three months.
    • Transaction history supports the source and stability of funds when requested.
    • Large recent deposits have a truthful, documented explanation.
    • Foreign-language documents include the translation format required by the school.
    • Digital certificates, signatures, seals and verification codes remain legible.
Do not manufacture a perfect-looking balance. A smaller but traceable and sustainable funding plan is more credible than an unexplained last-minute deposit.

    Sponsor evidence architecture

Connect identity, relationship, income and commitment

    Identity

Passport, national ID or other document requested for the sponsor. Names and spellings must match every financial document.

    Relationship

Birth certificate, family registration, family tree, marriage document or other official evidence requested by the school or visa authority.

    Income

Employment certificate, salary evidence, government income or tax certificate, pension evidence, or business income evidence. Revenue or sales should not be presented as personal income.

    Available funds

Bank-balance certificate and, when requested, transaction history or bankbook copies. The account belongs to the declared supporter.

    Support promise

A signed statement explaining who will pay, how much, how often and for which costs. Use the school’s prescribed form when provided.

    Transfer logic

Explain how money will legally move to Japan, how tuition will be paid and how regular living support will continue.

    University examples, not national rules

    Why school instructions can differ

    Regular-income family sponsor

Ritsumeikan University currently asks for a supporter bank-balance certificate equal to at least one year of tuition and living costs entered in its form, plus proof of income. Its stated reason is to show the ability to pay for at least one year if circumstances change.

Self-funded or sponsor without regular income

The same university asks for a bank balance equal to tuition and living costs until graduation. This is Ritsumeikan’s current COE documentation rule and should not be copied as a universal rule for every school.

    Relationship and employment

The University of Electro-Communications lists bankbook copies, bank-balance and annual-income certificates, plus employment and relationship evidence when a supporter is used.

    Additional review

A university applies for the COE as proxy in many cases. Immigration may request additional evidence, and the university cannot guarantee issuance.

Part-time work is not the funding plan

Arrive able to study without wages

A future part-time salary should not be used as the foundation of the initial COE funding plan. Ritsumeikan’s current guidance states that it cannot be included because the COE application assumes the student can pay tuition and living expenses without working in Japan. Work also requires separate permission and remains secondary to study.

    • Do not promise to pay tuition mainly from future part-time work.
    • Do not use an agent’s estimated job income as financial evidence.
    • Do not hide existing debt, sponsor obligations or unstable income.
    • Do not assume a scholarship is confirmed before receiving the official award document.

    Bangladesh document workflow

Prepare a traceable file before admission

    Use one spelling standard

Match the passport across bank, tax, employment, academic and relationship documents. Explain unavoidable variations.

    Collect financial history early

Ask the school whether it needs only a balance certificate or also bank statements, transaction history, tax records and source-of-fund documents.

    Document the sponsor relationship

Prepare the required family evidence and translations. When the supporter is not a parent, expect closer questions about the relationship and reason for support.

Separate school, COE and visa checklists

The Embassy of Japan in Bangladesh lists financial documents for study cases when applicable. Its Japanese-language-school list specifically mentions six months of sponsor bank statements, three years of tax certificates and relationship evidence for a non-parent sponsor.

    Keep originals and copies organized

Follow the current Embassy, VFS and school instructions for submission. Do not assume the language-school checklist automatically applies to a university degree case.

    Eight-week preparation plan

Build the file before the COE deadline

    Week 8

Confirm tuition, course length, city, sponsor type, scholarship status and school-specific financial checklist.

    Week 7

Request bank, income, tax, employment, business and relationship documents.

    Week 6

Build the real budget and decide which source pays each cost.

    Week 5

Prepare translations and certify copies exactly as instructed.

    Week 4

Complete the financial-support form and check monthly amounts against the budget.

    Week 3

Explain large deposits, irregular income, business ownership or multiple sponsors with evidence.

    Week 2

Run a name, date, currency, amount and relationship consistency audit.

    Week 1

Submit through the school’s required channel and stay available for follow-up requests.

    100-point financial evidence review

The file should answer every obvious question

    20

    Cost realism

Tuition, living, housing and arrival costs match the program and city.

    20

    Available funds

The evidence covers the period and amount required by the school.

    20

    Stable source

Income, savings and scholarships are traceable and sustainable.

    15

    Sponsor relationship

Identity, relationship and support responsibility are documented.

    15

    Consistency

Names, dates, currencies and amounts agree across all forms.

    10

    Submission control

Issue dates, translations, copies and file quality follow instructions.

AIC submission target: 90/100 with zero unexplained money movement.

MEXT Scholarship for Graduate Study in Japan: 2027 Guide

    AIC Japan Graduate Study Guide

MEXT Scholarship for Graduate Study in Japan

A practical FY2027 guide for Master’s, PhD and research-student applicants. Compare Embassy Recommendation and University Recommendation, build the correct evidence file, prepare for screening and avoid the most common route mistakes.

Bangladesh status, verified 9 August 2026: The Embassy of Japan in Bangladesh states that applications for the MEXT 2027 Research Students Scholarship through Embassy Recommendation are now closed. Future applicants should monitor the Embassy and Bangladesh Ministry of Education pages for the next call. Do not reuse an old deadline or submit documents directly to MEXT.

    Start with the route

    Two routes, different gatekeepers

    Embassy Recommendation

You apply through the Japanese diplomatic mission in your country. In Bangladesh, the Embassy directs applications to the Ministry of Education, Bangladesh. The first screening includes documents, Japanese and English tests, and an interview. Only after passing the first screening do you request provisional acceptance from Japanese universities.

Best for: applicants who can prepare a national-level application before securing a university placement.

    University Recommendation

A Japanese university selects candidates and recommends them to MEXT. Not every university has a recommendation quota, and requirements vary by university, program and quota type. The university’s own call, eligibility rules and internal deadline control the process.

Best for: applicants who have found a participating program, partnership or supervisor route with a confirmed MEXT recommendation opportunity.

Decision rule: Never treat University Recommendation as a second copy of Embassy Recommendation. Confirm who accepts the application, whether a quota exists, which form set applies, and whether admission must be completed before nomination.

    FY2027 eligibility

Check the hard conditions before writing

    Nationality and age

Applicants must hold nationality of a country with diplomatic relations with Japan. For FY2027, applicants generally must have been born on or after 2 April 1992. The official guidelines define only limited exceptions.

    Academic background

Applicants must meet the admission conditions for the intended Japanese graduate course. A Master’s or first-stage doctoral route normally requires 16 years of education or an eligible bachelor-equivalent degree. Doctoral conditions depend on the prior degree and field.

    Field continuity

The proposed field should be the field studied at university or a related field that can be researched at a Japanese graduate school. The link between previous study, current capability and the new plan must be defensible.

    Language and adaptation

Applicants must be willing to learn Japanese, understand Japan and show the ability to conduct research and adapt to life in Japan. Language evidence should match the program and supervisor’s working language.

    Health and arrival

The prescribed medical certificate is required. FY2027 applicants choose an April or September/October arrival route, and the choice is generally not changed after submission.

    Degree intention

The Research Students category includes regular graduate students and non-regular research students, but applicants must intend to obtain a degree in Japan. A non-degree plan with no degree progression is not eligible.

    What the scholarship covers

Benefits are strong, but arrival still needs cash planning

    Item FY2027 rule Planning note
Monthly allowance ¥143,000 for preparatory education and non-regular research students; ¥144,000 for Master’s or professional degree students; ¥145,000 for doctoral students. A regional supplement may apply. Amounts may change with the government budget. Extended absence can suspend payment.
University fees Entrance examination, matriculation and tuition fees are waived under the scholarship conditions. An entrance examination fee can become the student’s responsibility if progression or admission fails.
Travel MEXT generally provides economy airfare to and from Japan under the stated route and timing rules. Domestic transport, airport fees, insurance, baggage and some transit expenses remain the student’s responsibility.
First weeks in Japan The first scholarship payment may take one to one and a half months. The guidelines recommend bringing about US$2,000 for immediate expenses. Housing deposits can add pressure.

    Embassy Recommendation timeline

    The FY2027 sequence

    Call and application

Calls opened around mid-April 2026. Each diplomatic mission set its own deadline and local submission method.

    First screening

Approximately early May to late July 2026. The process included document review, Japanese and English written tests, and an interview.

    Provisional acceptance requests

First-screening passers could contact universities until 1 September 2026, Japan time. Universities often need about one month to issue a letter.

    Placement preference submission

The final preference form and university responses were submitted to the diplomatic mission around mid-September to early October, following the local deadline.

    Second screening and placement

MEXT handled second screening and university placement from November 2026.

    Final result and arrival

Results were scheduled from January to early March 2027. Arrival is in April or September/October 2027, according to the approved route.

    Document control

Build one evidence file, then produce the required sets

Required for all FY2027 Embassy applicants

    • 2027 Application Form
    • Placement Preference Application Form
    • Field of Study and Research Plan
    • University transcripts for every required academic level
    • Graduation, degree or prospective-graduation certificate
    • Academic recommendation letter
    • Prescribed medical certificate

    Submit when applicable

    • Thesis or paper abstracts
    • Japanese or English proficiency certificate issued within the allowed period
    • Recommendation from the current employer
    • Fine-arts work photographs or musical-performance media

Language rule: Documents must be in Japanese or English. Attach a Japanese or English translation when the original is in another language. Follow the exact original-and-copy count, document numbering and certification rules in the current call. Submitted originals are not returned, so do not send an irreplaceable degree document when an authorized attested copy is accepted.

    Research plan and screening

    Selection is a consistency test

    Academic evidence

Transcripts must show the applied grade scale and grades for all subjects. A degree certificate or final ranking does not replace a transcript.

    Research plan

The Field of Study and Research Plan should explain past and present study, the research theme, the question, method, feasibility and expected value. It is a major reference for university placement.

    Language tests

Embassy-route research applicants take both Japanese and English unless the diplomatic mission confirms an allowed exception. The Japanese result can also inform preparatory-language placement.

    Interview

Be ready to explain why Japan, why this research, what university information you have gathered, how you will communicate with an advisor, and how the work connects Japan and your home country.

    Document consistency

Dates, degree names, grades, research topics, language scores and employment details must match across every form, certificate, CV, recommendation and interview answer.

    Ethics

Copied plans, invented achievements and purchased recommendation letters can end the application. Use assistance for editing and checking, but keep every claim truthful and interview-ready.

    After the first screening

Provisional acceptance has strict contact limits

    • Request provisional acceptance only after receiving the First Screening Passing Certificate.
    • List up to three universities on the Placement Preference Application Form.
    • Obtain no more than two provisional acceptance letters.
    • Contact no more than two universities at the same time. If one rejects the request, a new university may be contacted within the deadline.
    • Contact the university’s international student affairs division first, not the preferred professor, unless the university instructs otherwise.
    • Send the passing certificate and the diplomatic-mission-stamped application documents requested by the university.
    • Do not send the Placement Preference Application Form to universities.
    • Do not list a university, supervisor or department that declined the request.
FY2027 deadline control: Requests made on or after 2 September 2026 were not permitted. This date will change in later cycles. Always use the new year’s official guidelines.

    Bangladesh applicant workflow

Prepare early, submit only through the announced channel

    Monitor two official pages

Check the Embassy of Japan in Bangladesh and the Ministry of Education, Bangladesh. The Embassy states that Bangladesh embassy-route applications go to the Ministry of Education.

    Build the academic evidence room

Collect transcripts, degree or prospective-graduation documents, certified copies, translations, recommendations, thesis abstracts and language evidence before the call.

    Develop a placement-ready research plan

Shortlist Japanese graduate schools and researchers, but follow the official first-screening sequence before requesting provisional acceptance.

    Practice both written tests

Use official sample questions for Japanese and English. Do not assume English-medium education automatically removes a local test.

    Prepare the interview story

Connect your Bangladesh context, academic evidence, research question, Japan fit, feasible method and post-study contribution in clear language.

    University Recommendation

Questions to ask before investing time

    • Does this university have an active MEXT University Recommendation quota for research students?
    • Is the opportunity general, special-program, exchange-agreement or internally nominated?
    • Can outside applicants apply, or only current partner-university students?
    • Must admission, supervisor consent or a laboratory match be completed first?
    • Which academic-performance calculation and language evidence does the university use?
    • What is the internal deadline, arrival term and scholarship period?
    • Can the same person apply simultaneously through another MEXT route? Never assume yes.

Use the university’s international office and published call as the authority. A professor’s interest alone is not proof that a recommendation quota exists.

    Risk control

Stop when you see these red flags

    • A person guarantees MEXT selection, placement or a provisional acceptance letter for payment.
    • An agency asks you to submit directly to MEXT for the Embassy Recommendation route.
    • A form set belongs to an old fiscal year.
    • A university route is promoted without a published quota, internal call or international-office confirmation.
    • A research plan contains claims, data or references you cannot explain in an interview.
    • An applicant contacts more universities than the current provisional-acceptance rule allows.

  • How to Write a Strong Statement of Purpose for Japan

How to Write a Strong Statement of Purpose for Japan

AIC Japan Graduate Study · Statement of Purpose Guide

Write a Japan graduate SOP that proves direction, evidence and program fit

A prompt-first system for Master’s and PhD applicants. Decode what the university actually asks, select defensible evidence, connect your past work to the proposed study, and produce a statement you can explain naturally in an interview.

First rule: do not start from a generic SOP template. Start from the exact prompt, prescribed form, page limit and target program. In Japan, “Statement of Purpose,” “Personal Statement,” and “Statement of Purpose and Research Plan” may be different documents.

    Document identity

Know what you are being asked to write

    Statement of Purpose

Usually explains academic direction, motivation, preparation, program fit and goals. Some programs also expect a research theme or plan.

    Personal Statement

May emphasize background, initiative, abilities, challenges, activities and personal development. Do not turn it into a duplicate research proposal.

    Research Plan

Defines the problem, literature gap, question, methods, feasibility and contribution. It requires more technical specificity than an SOP.

A University of Tokyo Science example asks for both a Personal Statement and a research-focused SOP. A University of Tokyo International Studies example asks for one statement containing future goals, past academic and non-academic accomplishments, and a master’s research theme. The University of Osaka AAD uses a combined Statement of Purpose and Research Plan form. These are not interchangeable.

Step 1 · Build the prompt map

Turn every instruction into a required answer

Prompt signal What reviewers need Evidence to prepare
Why this program? Specific academic fit, not reputation alone Curriculum, laboratory, faculty work, method or resource
Why this field? A reason grounded in study, work or research Course, project, observation, data or unresolved problem
What have you achieved? Ability demonstrated through action and result Thesis, research task, paper, presentation, work or community project
What will you study? A focused, feasible academic direction Research theme, question, scope and preliminary method
Why this supervisor? Intellectual fit and realistic supervision need Recent work, laboratory approach and exact overlap
What will you do later? Credible next step and social or academic value Target role, sector, research contribution or implementation path
What distinguishes you? Relevant capability, perspective or access Language, field access, method, dataset, professional experience or resilience

Copy the exact prompt into a control sheet. Mark each required answer, word or page limit, formatting rule, language, submission channel and evaluation criterion. Draft only after every field has an evidence source.

Step 2 · Create the evidence bank

    Use facts before adjectives

    Claim + context + action + result + reflection + future fit

Weak: “I am passionate, hardworking and an excellent researcher.”

Stronger: “During my final-year project on urban heat exposure in Dhaka, I cleaned and analyzed three years of ward-level temperature data. The missing-data problem led me to test two imputation approaches, reducing unusable observations and showing me why robust environmental data methods are essential for my proposed study in Japan.”

    Academic evidence

Courses, thesis, laboratory work, methods, grades with context, writing and presentations.

    Professional evidence

Responsibility, decision, measurable result, stakeholder work and field knowledge relevant to the degree.

    Personal evidence

Use only when it explains preparation, perspective or persistence. Avoid unrelated autobiography and emotional pressure.

    Step 3 · The eight-part architecture

A clear SOP that moves forward

    1

    Academic question

Open with the problem or question that now drives your study. Avoid childhood stories unless the prompt specifically makes them relevant.

    2

    Preparation

Show the courses, thesis, research or work that built the necessary foundation.

    3

    Evidence of ability

Describe one or two demanding tasks with methods, decisions, results and learning.

    4

    Unresolved gap

Explain what your past work could not answer and why graduate study is the logical next step.

    5

    Proposed direction

State a focused theme or question. Keep methods consistent with the separate Research Plan.

    6

    Program fit

Name the relevant curriculum, laboratory, supervisor expertise, facility, dataset or interdisciplinary structure. Explain how it enables your next step.

    7

    Your contribution

Show what you bring to the cohort or laboratory, such as field access, regional knowledge, language, method or professional network.

    8

    Future direction

Connect the degree to a credible role, research agenda or public value. Avoid promises that depend on events outside your control.

Why Japan and why this program?

    Replace admiration with academic fit

    Avoid Use instead
“Japan is advanced and beautiful.” A specific research environment, curriculum, institution, method, policy context or dataset that your question requires.
“This is a world-famous university.” The exact program design and how it closes a defined gap in your preparation.
“Professor X is renowned.” A recent research contribution and the precise intellectual overlap with your proposed work.
“I want to help my country.” A defined problem, target institution or community, and a plausible mechanism for applying the training.
“I have dreamed of Japan since childhood.” Only include personal history when it explains a sustained academic choice supported by later action.

    Master’s and PhD emphasis

    Adjust the balance

    Research Master’s

Emphasize foundation, research potential, a manageable theme, method development and fit with the laboratory.

    Professional Master’s

Emphasize the practice problem, relevant work, skills gap, curriculum fit and implementation plan.

    PhD

Emphasize research trajectory, original problem, literature awareness, methodological readiness, supervisor fit and scholarly contribution.

The SOP and Research Plan should agree but not repeat each other. The SOP explains your direction and readiness. The Research Plan explains the proposed study in technical detail.

    Format control

Respect the form before improving the prose

    • Use the prescribed form when supplied.
    • Follow the page, word, character, font, spacing and file rules exactly.
    • Answer every prompt label, even when combining responses into an essay.
    • Use the official program and degree names.
    • Keep supervisor names and research direction consistent with other documents.
    • Do not shrink text below readable size to force extra content.
    • Remove comments, tracked changes, hidden text and placeholder instructions.
    • Save the exact submitted version and portal receipt.
Authenticity warning: automated tools may help you organize or proofread, but the facts, judgment and voice must remain yours. Do not submit invented publications, false hardship, generic praise, copied samples or a statement you cannot explain in an interview.

    Bangladesh applicant notes

Make local experience legible to an international reviewer

    • Explain university grading, institutional roles or project scale briefly when they may be unfamiliar.
    • Translate local organization names consistently with official records.
    • For Bangladesh fieldwork, explain access, language ability, ethics, sampling and practical feasibility.
    • Do not frame Bangladesh only through crisis. Show knowledge, agency, evidence and a specific contribution.
    • Connect professional experience to the proposed degree instead of copying job duties.
    • If English is not your first language, prioritize clear sentences and accurate meaning over decorative vocabulary.

  • Japan Graduate Documents: Transcripts, Certificates and Translations

Japan Graduate Documents: Transcripts, Certificates and Translations

AIC Japan Graduate Study · High-risk Document Guide

Transcripts, degree certificates and translations—submit evidence that Japan can verify

A document-authenticity system for university applications and MEXT routes: exact document meanings, issuer standards, certified copies, translations, digital verification, Bangladesh-specific preparation and a final submission audit.

The core rule: never decide that two documents are “basically the same.” A transcript, graduation certificate, degree certificate and expected-graduation certificate prove different facts. Submit the exact evidence named in the current guideline.

    Know the evidence

    Four documents applicants frequently confuse

    Academic transcript

The official record of courses, grades and—where provided—credits, academic years and grading scale. A degree certificate does not replace it.

    Graduation/completion certificate

Confirms that you completed the program, usually with the completion date and institution. It may not state the exact degree awarded.

    Degree certificate

Confirms the academic degree conferred. Some programs specifically require the degree title to appear.

    Expected-graduation certificate

For current students, an official institutional statement of the expected completion date. A personal letter or student ID is not an equivalent.

    Enrollment certificate

Confirms current enrollment. It may be accepted only when the guideline specifically permits it.

    Diploma

The ceremonial credential. Some universities accept a certified diploma copy in limited circumstances; others still require separate official certificates.

    Authenticity ladder

Who issued it matters as much as what it says

Evidence form Meaning Use only when
Original official document Issued by the university/authorized body with required signature, stamp, seal or secure verification The guideline requests an original or official document
Certified true copy A copy formally attested as a faithful copy by an authority accepted by the program The guideline permits it and the correct authority certifies it
Verifiable digital certificate Registrar or authorized-platform record whose authenticity can be checked The program accepts digital evidence and the verification remains accessible
Applicant scan Your image/PDF of a document The portal permits an upload at that stage; keep the original for later verification
Notarized copy A copy attested by a notary The program names a notary as acceptable; notarization is not automatically university certification
Provisional certificate Temporary evidence issued before a final credential The program explicitly accepts it for your applicant status
Do not add a stamp, signature, grade-scale note or “certified” label yourself. Editing a scan can turn a valid record into suspected falsification.

    Translation decision system

Original + translation + accepted attestation

    1

    Check accepted languages

Many routes accept Japanese or English, but the exact program controls. If the issuing institution can produce an official English record, that is often the cleanest option.

    2

    Keep the original-language evidence

A translation normally accompanies the original; it does not replace the source record.

    3

    Identify the accepted translator

Rules differ. A program may accept a university, ministry, local notary or certified translator; another may simply require an English/Japanese translation. Never assume self-translation is acceptable.

    4

    Translate completely and literally

Include headings, seals, handwritten notes, grading scales, page numbers and text on the reverse. Mark illegible areas rather than guessing.

    5

    Add translator identification when required

Name, organization, contact details, language pair, date, certification statement and genuine attestation may be required.

    6

    Package the pair clearly

Use matching page order and filenames so reviewers can compare original and translation without searching.

    Academic-history scope

Which years and institutions belong in the file?

    • Follow “last university,” “all universities attended,” or “all academic years” literally.
    • Doctoral applicants may need both undergraduate and graduate transcripts/certificates.
    • Transfer, exchange, repeated, withdrawn or incomplete study may require separate records if the guideline asks for every institution attended.
    • Current students should submit results available through the most recent completed term plus the named enrollment/expected-graduation evidence.
    • If the transcript does not explain the grading scale, ask the registrar for an official explanation rather than inventing a GPA conversion.
    • Name changes or differing transliterations should be supported by the exact evidence the program requests.
Portal upload is not the end. A University of Tokyo example allows original copies to be uploaded during application but requires original paper documents during enrollment. Archive and protect originals until the entire admission process is complete.

    Bangladesh document workflow

Prepare the issuer before the deadline

    Ask for English issuance

Where available, request registrar-issued English transcripts and certificates with the university’s official verification features.

    Clarify document names

A marksheet, consolidated transcript, provisional certificate and degree certificate are not interchangeable. Map each Bangladeshi document to the exact Japanese requirement.

    Plan slow steps

Registrar processing, seals, attestation, certified translation and courier delivery can take weeks. Start before the application portal opens.

    • Use the passport spelling consistently across every request.
    • Confirm whether the university must send documents directly or whether applicant upload/post is accepted.
    • Do not laminate, crop seals, remove reverse pages or break a sealed envelope unless instructed.
    • For Bengali records, verify who may translate and certify them for that exact program.
    • Use Japan Standard Time for electronic deadlines and allow international courier contingency for “must arrive” deadlines.

    Digital-file standard

    Create PDFs reviewers can trust

    Check Good practice
Capture Color scan when seals/stamps matter; complete edges; upright pages; readable at normal zoom
Order Follow the application checklist and maintain original page sequence
Filename ApplicantName_Document_Institution_Year_EN.pdf using simple Latin characters
PDF integrity Opens correctly, no password, comments, tracked changes or broken fonts unless requested
Size Under portal limit without making text or seals unreadable
Privacy Share only through the official portal/address; remove public cloud permissions after use
Archive Preserve the exact submitted file, date, receipt and original source document

    12-week preparation

Work backward from the first deadline

    12

    Weeks 12–10

Build the requirement matrix; request transcripts, degree/expected-graduation certificates and grading-scale evidence.

    9

    Weeks 9–7

Receive records; resolve name/date errors with the issuer; arrange permitted translations and certifications.

    6

    Weeks 6–4

Scan, name and audit files; confirm direct-send, seal and original-paper requirements.

    3

    Weeks 3–2

Upload drafts, check portal rendering and arrange courier delivery where needed.

  • Academic CV, Recommendation Letters and Application Portfolio for Japan

Academic CV, Recommendation Letters and Application Portfolio for Japan

AIC Japan Graduate Study · Document System

Build a graduate application portfolio that is complete, credible and easy to verify

A requirement-controlled system for your academic CV, recommendation letters, transcripts, certificates, research evidence and final submission files—designed for Japanese universities and MEXT pathways.

Golden rule: the current program guideline is the specification. Do not upload a “standard package” everywhere. One program may require two referee submissions, another may require none, and MEXT has a separate official set.

Step 1 · Create the control sheet

Separate required, conditional and supporting evidence

    Required

The portal or guideline explicitly demands it. Missing, late, unsigned or incorrectly issued evidence can make the application incomplete.

    Conditional

Required only for certain applicants: current students, employed applicants, doctoral candidates, art/music fields, scholarship routes or non-English documents.

    Supporting

Permitted evidence that strengthens a claim—publication list, writing sample or portfolio. Never submit extra files when the system forbids them.

    Control field What to record
Document Exact official name, form/version and applicant category
Issuer Applicant, university registry, referee, employer, doctor or testing body
Format Portal, direct referee upload, sealed envelope, original, certified copy or PDF
Language Accepted language and translation/certification rule
Deadline Japan Standard Time, destination and whether “arrive by” or “send by”
Status Requested, received, checked, uploaded, submitted and acknowledged

    Academic CV

Design the CV as an evidence map—not a biography

    1

    Identity and target

Full passport-consistent name, professional email, country, ORCID/portfolio if relevant, and a concise research-interest line. Add a photo only if requested.

    2

    Education

Reverse chronological degrees, institution, dates, major, thesis title and supervisor. Explain GPA scale briefly when the number is not self-explanatory; never “convert” it unofficially.

    3

    Research experience

Question, role, method, dataset or fieldwork, and verifiable outcome. “Helped with research” is weak; describe what you actually did.

    4

    Outputs

Separate peer-reviewed publications, accepted papers, preprints, conferences, theses and other work. Use one citation style and truthful status labels.

    5

    Methods, languages and tests

List methods/software you can defend, language level with evidence and test date/status. Avoid skill bars and unverified “expert” claims.

    6

    Awards and relevant work

State awarding body, year and selection basis when useful. Link employment to the proposed research rather than copying a corporate résumé.

Recommended length: usually 1–2 pages unless the program supplies a form or expects a full academic CV. The official template always wins.

    Recommendation strategy

Choose referees for evidence quality, not job title alone

    Academic knowledge

A thesis supervisor or instructor who directly observed your research, writing, analysis or laboratory work.

    Current relevance

A referee who can explain your readiness for the proposed field and degree—not only that you were polite or attended class.

    Process reliability

Someone willing to follow the required form, portal, signature, letterhead, language and deadline.

A strong letter uses specific observations: the task, level of independence, comparison group, challenge handled, research behavior, communication and readiness for the target program. Applicants should provide facts and context, but never write or fabricate the confidential letter unless the institution explicitly permits a draft and the referee takes full responsibility.

    Referee packet

Make an accurate letter easier to write

    • One-page target summary: university, program, degree, intake and deadline in JST
    • Official instructions, form and submission method
    • Current academic CV and transcript
    • Research proposal or one-page project summary
    • Reminder of courses/projects completed with the referee
    • Three to five factual examples the referee personally observed
    • Draft statement of purpose only when useful and safe to share
    • Applicant name and spelling exactly as shown in the portal

    Request template

Subject: Recommendation request — [program] — deadline [date, JST]

    Dear Professor [Name],

I am applying to [exact program] for [intake]. Because you supervised/taught me in [specific context], may I ask whether you would be comfortable writing a strong recommendation addressing my [research ability/academic preparation]?

The university requires [number/form/submission route], and the deadline is [date and time, JST]. I have attached the official instruction, my CV, transcript and a one-page research summary. Please feel free to decline if the timing or context is not suitable.

Thank you for considering my request.

    Consistency audit

    Ten checks before submission

    • Name, birth date, institution names and degree dates agree everywhere.
    • Proposed field, question and supervisor fit align across CV, SOP, proposal and email.
    • Publication status is exact: published, accepted, under review or preprint.
    • No unsupported GPA conversion, ranking, award or language claim.
    • Every translation follows the current certification rule.
    • Scans are complete, upright, readable and include seals/backs when relevant.
    • File names use simple Latin characters and a consistent pattern.
    • PDFs open correctly, contain no comments/tracked changes and stay below size limits.
    • Referees received the final deadline and submission link with adequate notice.
    • Portal confirmation and submitted versions are archived.
Never alter an official transcript, seal, signature, score report or recommendation. A visual “cleanup” that changes evidence can become falsification. Ask the issuer for a corrected official document.

    MEXT 2027 and Bangladesh

    Route-specific safeguards

    • For Embassy Recommendation, use the current embassy/consulate process; do not send application documents directly to MEXT in Japan.
    • MEXT’s 2027 Research Student materials include its application, research plan, transcript, degree evidence, recommendation and other conditional items. Use the current checklist—not an old blog.
    • The current Study in Japan MEXT page says the sample recommendation style is not the only acceptable style, but your local mission’s instructions still control delivery.
    • Applicants with Bengali documents should confirm whether English/Japanese translations, certification, original documents or sealed copies are required.
    • Keep Bangladeshi institution names and degree titles consistent with the issuing documents and passport spelling.

  • How to Contact a Japanese Professor Professionally

How to Contact a Japanese Professor Professionally

AIC Japan Graduate Study · Communication Guide

Contact a Japanese professor professionally—and protect your application

A precise, evidence-led system for identifying the right supervisor, following each program’s contact rule, writing a credible first email and handling silence without becoming pushy.

The first rule is not “email the professor.”
First read the exact program’s current application guidelines. Some programs require prior supervisor consent, some use an admissions desk such as Osaka University’s AAD, and some explicitly prohibit direct contact before screening.

Step 1 · Identify the contact model

Three legitimate routes—and only one may apply to you

    A. Direct contact required

The program asks you to contact a prospective supervisor and obtain consent, informal acceptance or a letter before applying. Follow its specified timing and evidence requirements.

    B. Office-mediated contact

You first submit documents to a graduate office or admissions assistance desk. Contact the professor only after the office authorizes or introduces the communication.

    C. Direct contact prohibited

The program protects fairness by screening centrally. Do not email faculty for acceptance. Use the application portal or named office exactly as instructed.

Decision checkpoint: save the dated guideline, locate the sentence about prospective supervisors, and record the route, deadline, required documents and approved channel in your application tracker.

Step 2 · Prove research fit

The seven checks to complete before writing

    1

    Current affiliation

Confirm the professor still belongs to the target graduate school, accepts students in your intended intake and is not retiring or moving.

    2

    Research overlap

Read the laboratory page and at least two recent papers. Identify a real overlap in question, theory, method, population or dataset.

    3

    Program eligibility

Check degree, language, examination, funding and prior-consent rules. A good research match cannot override formal ineligibility.

    4

    Supervision capacity

Look for explicit “accepting students” information. If absent, ask one short capacity question rather than assuming availability.

    5

    Laboratory culture

Review projects, members, publication patterns, seminars, equipment and collaboration. Fit includes how the research is actually done.

    6

    Your contribution

Define what you bring: field access, language, technical method, dataset, professional experience or a tested research foundation.

    7

    A focused question

Write one feasible research question. “I am interested in your research” is not enough; show what you want to investigate and why it belongs in this lab.

Step 3 · Build the message

    A professor-friendly email anatomy

    Part Purpose Recommended content
Subject Make relevance visible Prospective MSc/PhD applicant — [specific topic] — [intake]
Greeting Professional opening Dear Professor [Family Name],
Identity Establish context Degree, university, country and intended program/intake in one sentence.
Fit evidence Prove the email is not mass-sent Name one recent paper or project and the exact connection to your question.
Research direction Show readiness Two or three sentences: problem, question, method and intended contribution.
Request Make response easy Ask whether the topic could fit the lab and whether the professor expects to supervise students for that intake.
Evidence Support claims Attach only the documents permitted or requested: concise CV, proposal/concept note and transcript.
Close Respect time Thank them, state that you will follow program procedures, and sign with full contact details.

    Adaptable template

    A concise first email

Personalize every message. Never copy a paper title without reading it, invent familiarity, or use an AI-generated claim you cannot defend in an interview.

    Situation Recommended action
No reply Wait 7–10 business days, then send one short reply in the same thread. Account for Japanese holidays, conferences and admissions periods.
Still no reply Stop repeated emailing. If guidelines permit, ask the graduate office about the correct procedure or approach another suitable professor one at a time.
Professor declines Thank them once. Do not argue. If they suggest another faculty member, verify fit and rules before writing.
Professor shows interest Answer questions accurately, prepare for an interview, and confirm the formal next step. Interest or consent is not admission unless official guidance says so.
Request for money or private payment Do not pay. Verify through the university’s official domain and admissions office. Professors do not sell admission.

    Self-review

Score the email before sending — 100 points

    Rules · 25

Correct program, route, deadline and permitted contact channel.

    Research fit · 30

    Credibility · 20

Accurate background, evidence, clean documents and no exaggeration.

    Clarity · 15

Useful subject, short paragraphs, one direct request and error-free English.

    Respect · 10

Appropriate greeting, reasonable timing, no pressure and a professional signature.

Send threshold: 85/100. If the rules score is below 25, do not send—the contact route may be wrong.

    Bangladesh applicant notes

    Small details that improve credibility

    • Use Japan Standard Time when proposing interview slots and write both JST and Bangladesh time.
    • Explain the status of pending degree certificates, transcripts or English tests without promising unavailable dates.
    • If your research requires Bangladesh fieldwork, mention access, language ability, ethics approval, safety and data-transfer feasibility.
    • Use an institutional or professional email address and a stable Latin-character spelling matching your passport.
    • Never allow an agent to impersonate you in professor correspondence; you must be able to defend every sentence and attachment.
Do not write: “Please give me a scholarship,” “I want admission under you,” generic praise, a life story, repeated urgent messages, or one email addressed to several professors.
