Master’s and PhD in Japan: Complete Admission Roadmap
A complete planning system for choosing a research home, confirming eligibility, approaching the right supervisor, preparing the application and moving from admission to enrollment in Japan.
First identify your real admission route
Graduate admission in Japan can look similar from the outside while following very different rules. Do not assume that contacting a professor, becoming a research student and applying for a degree are the same process.
Direct regular-degree admission
You apply to the Master’s, doctoral or professional program and complete its document screening, examination and interview process.
Non-degree research student route
You enter as a research student, often called kenkyusei, before seeking regular degree admission. Some schools use this route, while others do not require or allow it.
MEXT Research Student route
This is a scholarship pathway with embassy or university recommendation procedures. A MEXT research student may be non-regular or enter a regular degree course depending on the approved route.
Professional graduate program
Programs such as business, public policy, public health, law or education may prioritize professional preparation and can use a different selection model.

Define the research direction
Write a one-page problem statement, identify likely methods and decide whether you need a research-focused or professional program.
Build a research-fit shortlist
Compare laboratories, faculty, recent publications, facilities, teaching language, degree structure, intake and funding. Confirm whether your intended supervisor can accept students.
Check the contact model
Follow the program’s official instructions. Where contact is allowed, send a focused message that connects your background and research idea to the professor’s recent work.
Prepare the evidence file
Develop the research proposal, SOP, academic CV, thesis summary, recommendations, transcripts, translations and required test scores.
Apply and complete selection
Submit through the official system, pay the correct fee and complete the interview, oral examination, written test or presentation required by the program.
Accept, fund and prepare to arrive
Confirm the offer, payment and scholarship conditions. Complete COE, visa, accommodation, insurance and arrival preparation with the university.
Eligibility is a university decision
Official Study in Japan guidance lists several routes for Master’s or first-stage doctoral admission, including graduating from a four-year university, completing 16 years of formal study or completing at least three years at a foreign university and earning a bachelor’s degree. Doctoral admission normally requires a master’s or equivalent background, with different conditions for medicine, dentistry, pharmacy and veterinary fields.
If your education path is unusual, your degree is three years, your credits do not fit a standard pattern or you are applying across disciplines, ask the admissions office about individual eligibility screening before paying an application fee.
Supervisor contact: use the correct model

Your eight-step admission workflow
Define the degree outcome
Clarify whether you need a research Master’s, professional Master’s, PhD or non-degree research period.
Verify program and supervisor fit
Read the curriculum, lab pages and recent publications. Build evidence for why this research home fits.
Confirm eligibility
Check education years, degree level, field prerequisites and individual screening deadlines.
Map selection requirements
Record language tests, written examinations, interview, oral defense, portfolio and faculty consent.
Build the evidence package
Make the proposal, SOP, CV, thesis summary, recommendations and transcripts tell one consistent academic story.
Submit and track
Keep receipts, courier records, uploaded files and all admissions correspondence in one secure folder.
Evaluate admission and funding
Check tuition, scholarship terms, supervisor status, lab funding, campus and housing before accepting.

Follow the university’s immigration instructions and submit consistent sponsor and financial evidence.

Selection may test research thinking
Graduate selection can combine document review, academic or language tests, an interview, essay, oral examination or research presentation. Prepare to explain the research problem, gap, method, evidence, limits, ethics, feasibility and why the proposed supervisor or program is appropriate.
For a PhD, reviewers usually expect stronger proof of independent research capacity, a clearer contribution and a more developed method than for a Master’s applicant.
Cost and funding checkpoint
The official Study in Japan site reports average first-year admission and tuition of about ¥820,000 at national graduate schools, ¥900,000 at local public graduate schools and ¥1,100,000 at private graduate schools. Actual fees, laboratory costs and professional program fees vary.
Treat scholarships as one part of the plan. MEXT Research Students, JASSO support, university scholarships, tuition reductions, private foundations and laboratory funding all have different eligibility and timing. Do not assume a supervisor’s positive reply includes funding.
