Control every fee, deadline and entrance step

A university application in Japan is not one payment or one deadline. This guide separates the money, dates, documents and selection stages so you can submit correctly, budget realistically and avoid last-minute mistakes.

First understand the three money moments

1. Before submission

External tests, translations, certification, courier costs and any bank or card charges.

2. At application

The university entrance examination or application screening fee. The exact amount and payment method come from that university’s current guidelines.

3. After acceptance

Admission fee, tuition and other enrollment charges. These are separate from the application fee and may have a short payment deadline.

Do not confuse the application fee with the admission fee. Paying the entrance examination fee normally allows your application to be screened. It does not reserve your place after acceptance.

Official cost context: Study in Japan lists average first-year admission and tuition of about ¥820,000 at national undergraduate universities, ¥910,000 at local public universities and ¥1.3 million at private undergraduate universities. Graduate averages are about ¥820,000, ¥900,000 and ¥1.1 million respectively. Medical, dental and pharmaceutical programs can be much higher. These are broad averages, not your university’s invoice.

Build the deadline backward from enrollment

Japan does not have one national university deadline. Every institution and program publishes its own application guidelines. The official Study in Japan model below is a planning framework for direct entry, not a substitute for the latest university notice.

11 to 12 months
Request information and confirm requirements. Check language, academic and test conditions.
Up to 10 months
Select target institutions. Compare programs, fees, intake, location and support.
About 9 months
Take required tests. This may include EJU, JLPT, TOEFL or IELTS.
6 to 8 months
Apply. Submit the university form and required evidence, then pay the stated examination fee.
2 to 5 months
Complete selection. Document screening, interviews and entrance examinations may occur here.
About 3 months
Receive the result and complete enrollment payment. Then prepare immigration, housing and travel.
Deadline trap: confirm whether the deadline means online submission, payment completion, dispatch, postmark or physical arrival. Also confirm Japan Standard Time. Never assume that a payment screenshot alone completes the application.

Download the current guidelines

Match the year, intake, degree level, faculty and international applicant category.

Create a requirement sheet

Record every document, format, issuing authority, language, validity period and deadline.

Confirm unclear points in writing

Ask the university admissions office. Save the reply with your application records.

Prepare name-consistent evidence

Your passport, SSC or HSC documents, degree records and test reports should be reconciled if spelling differs.

Pay through the stated channel

Use only the university’s official payment instructions. Keep the receipt and transaction reference.

Submit and verify completion

Check the portal status, email confirmation, document tracking and any missing-item notice.

Prepare for selection

Know the interview platform, time zone, examination format, identity check and permitted materials.

Act quickly after acceptance

Confirm enrollment, admission payment, tuition schedule, COE support, housing and scholarship conditions.
